This Privacy Policy explains how QuidSnap ("we", "us", or "our") collects, uses, and protects your personal information when you use the QuidSnap mobile application ("the App"). We are committed to protecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By using QuidSnap, you agree to the terms of this Privacy Policy.

2. What Information We Collect
2.1 Information You Provide Directly
- Account information — your email address and password when you create an account
- Receipt images — photos of receipts you submit for scanning within the App
2.2 Information Generated When You Use the App
- Scanned receipt data — itemised transaction details extracted from your receipts, including merchant names, item descriptions, amounts, and dates
- Spending categories — categories assigned to your receipts
- Usage data — how you interact with the App (e.g. number of scans, features used), used to improve the service
2.3 Information We Do NOT Collect
- We do not collect your full name unless you choose to provide it
- We do not collect your location or GPS data
- We do not collect payment card details (handled entirely by Apple or Google)
- We do not access your contacts, microphone, or sensors beyond your camera

We do not use your data for advertising, profiling, or marketing to third parties.
4. Receipt Image Processing (AI / OpenAI)
When you scan a receipt, the image is sent securely to OpenAI's API for optical character recognition (OCR) and data extraction. OpenAI processes the image to identify items, amounts, and other transaction details, which are then returned to the App and saved to your account.
- Receipt images are transmitted to OpenAI solely for processing your scan
- OpenAI's data handling is governed by OpenAI's Privacy Policy
- We have a Data Processing Agreement in place with OpenAI as required under UK GDPR
- Images are processed and not retained by OpenAI
5. Where Your Data is Stored
Your account information, receipt data, and images are stored securely using Convex (our cloud database and storage provider). Where data is transferred outside the UK, we ensure appropriate safeguards are in place as required by UK GDPR, including Standard Contractual Clauses (SCCs).
6. Subscriptions and Payments
QuidSnap offers a paid subscription (QuidSnap Pro at £2.99/month). All payments are processed by Apple (via the App Store) or Google (via the Play Store). We do not receive or store your payment card details. Subscription management, billing, and refunds are handled directly by Apple or Google.
7. How Long We Keep Your Data
We retain your data for as long as your account is active. If you delete your account, your account information and receipt data are deleted within 30 days. Anonymised, aggregated usage statistics that cannot identify you may be retained for analytical purposes.
8. Your Rights Under UK GDPR
As a UK resident, you have the following rights regarding your personal data:
- Right to access — request a copy of the data we hold about you
- Right to rectification — ask us to correct inaccurate data
- Right to erasure — request deletion of your data
- Right to restrict processing — ask us to limit how we use your data
- Right to data portability — request your data in a machine-readable format
- Right to object — object to processing based on legitimate interests

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
9. Data Security
We use industry-standard encryption (TLS) for all data in transit, and your data is stored in secure, access-controlled cloud infrastructure. If you have concerns about a potential security issue, please contact us immediately at hello@quidsnap.app.
10. Children's Privacy
QuidSnap is not intended for use by individuals under the age of 13. We do not knowingly collect personal data from children. If you believe a child under 13 has created an account, please contact us and we will delete it promptly.
11. Third-Party Services
We do not sell your data to any third party.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make significant changes, we will notify you via the App or by email. Continued use of the App after changes are posted constitutes acceptance of the updated policy.
