2.1 Information You Provide Directly
- Account information — your email address and password when you create an account
- Receipt images — photos of receipts you submit for scanning within the App
2.2 Information Generated When You Use the App
- Scanned receipt data — itemised transaction details extracted from your receipts, including merchant names, item descriptions, amounts, and dates
- Spending categories — categories you assign or that are assigned automatically to your receipts
- Usage data — how you interact with the App (e.g., number of scans, features used), collected to improve the service
2.3 Information We Do NOT Collect
- We do not collect your full name unless you choose to provide it
- We do not collect your location or GPS data
- We do not collect payment card details (these are handled entirely by Apple or Google)
- We do not access your device contacts, microphone, or other sensors beyond your camera (used only when you choose to scan a receipt)
3. How We Use Your Information
We use your information only for the following purposes:

4. Receipt Image Processing (AI / OpenAI)
When you scan a receipt, the image is sent securely to OpenAI's API for optical character recognition (OCR) and data extraction. OpenAI processes the image to identify items, amounts, and other transaction details, which are then returned to the App and saved to your account.
- Receipt images are transmitted to OpenAI solely for the purpose of processing your scan
- OpenAI's data handling is governed by OpenAI's Privacy Policy
- We have a Data Processing Agreement in place with OpenAI as required under UK GDPR
- We do not store your receipt images on OpenAI's servers — they are processed and the extracted data is returned to us
5. Where Your Data is Stored
Your account information, receipt data, and images are stored securely using Convex (our cloud database and storage provider), with servers located within the United States. Where data is transferred outside the UK, we ensure appropriate safeguards are in place as required by UK GDPR, including Standard Contractual Clauses (SCCs).
6. Subscriptions and Payments
QuidSnap offers a paid subscription (QuidSnap Pro at £2.99/month). All payments are processed by Apple (via the App Store) or Google (via the Play Store) depending on your device. We do not receive or store your payment card details. Subscription management, billing, and refunds are handled directly by Apple or Google — please refer to their respective policies for more information.
7. How Long We Keep Your Data
We retain your data for as long as your account is active. If you delete your account:
- Your account information is deleted within 30 days
- Your receipt images and transaction data are deleted within 30 days
- Anonymised, aggregated usage statistics (which cannot identify you) may be retained for analytical purposes
8. Your Rights Under UK GDPR
As a UK resident, you have the following rights regarding your personal data:
- Right to access — you can request a copy of the data we hold about you
- Right to rectification — you can ask us to correct inaccurate data
- Right to erasure — you can request deletion of your data ("right to be forgotten")
- Right to restrict processing — you can ask us to limit how we use your data
- Right to data portability — you can request your data in a machine-readable format
- Right to object — you can object to processing based on legitimate interests

We take the security of your data seriously. We use industry-standard encryption (TLS) for all data in transit, and your data is stored in secure, access-controlled cloud infrastructure. Access to user data is limited to only those necessary to operate and maintain the App.

10. Children's Privacy
QuidSnap is not intended for use by individuals under the age of 13. We do not knowingly collect personal data from children. If you believe a child under 13 has created an account, please contact us at hello@quidsnap.app and we will delete the account promptly.
